Job Brief:
The Estate Administrator is a busy and varied, full time position, based at Kilfinichen Estate on
the beautiful Ardmeanach Peninsular of the Isle of Mull.
Kilfinichen Estate is a mixed rural highland estate combining traditional farming and forestry
activities with hydro electricity generation and property renovation along with an increasingly
diverse hospitality business focussed on holiday lets, tourism and retail. The growing team of 7
full-time staff requires a high level of administrative support from a highly competent and
experienced administrator/PA.
As Estate Administrator you will be required to work from the estate office full time and play a
pivotal role in the continued successful development and effective daily management of the
Estate, providing high quality administrative support to all Estate activities. Working alongside
the Estate Manager and reporting directly to the Directors, you will possess excellent
communication and organisation skills and be competent in the use of IT.
Key responsibilities:
· Management of electronic diaries, meetings and actions.
· Management of websites.
· Minute taking and distribution.
· Purchase order processing, management of payment requests and basic bookkeeping.
· Ordering stationery and other Estate supplies as necessary/requested.
· Secretarial and administrative support to the Estate Manager, team and Directors.
· Diary management, record keeping and electronic filing.
· Information distribution to keep the team informed of changing priorities.
· Liaison with staff, suppliers, local authorities, and guests.
· Health & Safety and certification oversight and management.
· Maintenance of the Estate maintenance schedule and Land Terrier.
· Oversight of holiday letting bookings
Salary is negotiable and dependent on experience.
Self-contained accommodation is provided.
Possible work/hours available for partner depending on qualifications.
Ability to commute/relocate to Isle of Mull, PA69 6ER

· Licence/Certification: Driving Licence & own car (required)
Knowledge Skill & Previous Experience Required: Essential Proven Administration skills Excellent written and verbal communication skills and a strong team player Strong Microsoft suite skills (MS Word MS Excel and Outlook) Excellent data filing skills Diary and meeting management The ability to coordinate and manage your own workload Proactive approach to problem solving The ability to work under time pressure, remain calm and multi-task Assist other employees as part of the team Efficient and effective clerical management The capacity to learn new skills quickly Understanding of Data Protection legislation Desirable A background in customer service Retail management / hospitality experience Basic bookkeeping skills Project Management skills (including use of MS Project) Experience of Health and Safety aspects and Toolbox talks Fleet management experience Experience of working with local authorities
